What you get, and what you are committing to
A conference room booking covers the room for stated hours on stated dates. There is no membership, no monthly minimum and nothing to cancel afterwards. Half days are normal, full days are the most common, and a run of consecutive days for a training program is straightforward to arrange with one host.
Capacity is the thing to get right first. A room sold as holding thirty people holds thirty in rows facing one way. The same room holds about eighteen around tables and perhaps twelve in a boardroom layout, so decide the format before you decide the size.
What a conference room costs
Rates are quoted per day or per half day, and the gap between cities is wider than the gap between rooms. Three things account for most of the variation.
How central it is. A room ten minutes from a main station costs noticeably more than one twenty minutes out, and for a group travelling in it is usually the right thing to pay for.
What is already in the room. A screen, a projector, a whiteboard and reliable Wi-Fi in place beats hiring them in on the day, both on cost and on the morning itself.
The day and the season. Midweek is the busiest, so Mondays, Fridays and August are the easiest dates to get and usually the best value. If your dates can move, moving them is the simplest saving available.
Catering is almost always separate. Some hosts have a kitchen and will quote; others will point you at a supplier they use. Ask before you book if lunch matters, because retro-fitting catering into a room with no kitchen access is the most common avoidable problem.
Booking it
Send the dates, the headcount and the layout you want. The host confirms availability and quotes, you pay, and the room is yours. No viewing, no agent, no lease.
For recurring training it is worth telling the host up front. A host who knows you want the same room monthly will often hold the dates and quote better than they would for a single booking.
Choosing a room
Work from the session rather than the space. A seminar with slides needs a screen everyone can see and a room that does not echo. A board meeting needs a door that closes and a table people can sit around. An interview day needs two rooms, one to interview in and one to wait in, which is easy to forget until the morning.

FAQ
Can I book a conference room for half a day?
Yes, and half days are common. Mornings tend to go first because groups prefer to start early and travel home the same day.
How many people will fit?
Ask for the capacity in the layout you intend to use rather than the headline number. Theater style holds the most, cabaret and tables noticeably fewer, boardroom fewest of all.
Is equipment included?
Usually a screen or projector and Wi-Fi. Flip charts, a dedicated sound system, video conferencing hardware and recording kit vary by room and are listed where they exist.
What about lunch?
Catering is arranged separately almost everywhere. Hosts with kitchen access will quote directly; the rest will suggest a supplier. Raise it before booking rather than after.
Do I need insurance for a conference?
For a standard meeting, usually not. Hosts tend to ask for cover once numbers get large or the day involves anything being built, moved or served.
Can I book the same room every month?
Yes, and it is worth asking for. Tell the host it is recurring when you first enquire; most would rather hold a regular date than fill it twelve separate times.
